Refund and Returns Policy

At Route Himalaya Trekking, we strive to provide exceptional travel experiences and transparent policies. Our Refund & Returns Policy outlines how cancellations, refunds, and changes are handled. Please read this information carefully before booking any trip with us.

1. Booking Deposits

  • A non-refundable deposit is required to secure your booking.

  • This deposit covers administrative costs, permits, and initial trip preparations.

2. Cancellations by the Client

If you need to cancel your trip, please inform us in writing (email or message). Refund eligibility will depend on how far in advance the cancellation is made:

  • More than 30 days before the trip:
    Eligible for a partial refund (excluding non-refundable deposit and external service fees).

  • 15–30 days before the trip:
    A cancellation fee will apply; only a portion of the total amount may be refunded.

  • Less than 15 days before the trip:
    No refund available due to pre-arranged logistics, bookings, and staffing.

  • No-shows or last-minute cancellations:
    Non-refundable.

Note: Trekking permits, flight tickets, hotel reservations, or any services already purchased are non-refundable.

3. Cancellations by Route Himalaya Trekking

We may cancel or postpone a trip due to severe weather, natural disasters, safety concerns, political instability, or unforeseen circumstances.

In such cases, we will:

  • Offer an alternative departure date, or

  • Provide a partial refund depending on expenses already incurred

We are not responsible for additional costs caused by cancellations (e.g., international flight changes, extra hotel stays, insurance).

4. Refund Process

  • All approved refunds are processed through the original payment method.

  • Bank or payment processing fees are not refundable.

  • Refund processing may take 7–14 business days depending on your bank or payment provider.

5. Trip Changes & Modifications

  • Changes requested by the client (date change, itinerary adjustment) may incur additional fees.

  • Alterations are subject to availability and operational conditions.

  • No refunds are provided for unused services during the trip (meals, accommodation, transportation, or early departures).

6. Medical or Emergency Situations

In case of personal medical emergencies or unforeseen events, we will assist in rescheduling your trip where possible.
Refunds will follow the standard policy unless supported by valid documentation (e.g., medical certificate).

Travel insurance with medical and evacuation coverage is strongly recommended.

7. Travel Insurance Requirement

For high-altitude treks or peak climbs, clients must have insurance that covers:

  • Emergency evacuation

  • Medical treatment

  • Trip interruption/cancellation

Insurance claims should be handled directly with your insurance provider.

8. Non-Refundable Items

The following are strictly non-refundable once booked or issued:

  • Trekking permits and national park fees

  • Domestic flight tickets

  • Hotel bookings

  • Porter and guide reservations

  • Equipment rental fees

  • Any third-party service purchased on your behalf
